Trips View
Trip Status
- Pending: The trip has been created but has not yet started.
- Open: The trip will be in this status from the Start Date until the funds expiration/card deactivation date.
- Canceled: A trip may only be canceled prior to the first allotment being disbursed.
- Closed: The Trip is closed and the Trip Cards have been deactivated.
Trip List
- By default, your trip list is sorted by Start Date from oldest to newest.
- The easiest way to find a specific trip is to filter by Trip ID or Trip Name.
- Trip Cards: This column shows the total number of cards assigned to a trip. This includes one card per traveler plus any spare cards.
- Allotment amount: This value is calculated by multiplying the total of all allotments for the trip by the number of active cards.
To view the shipping address for a trip's cards, hover over the Actions column and select the view icon.
Allotments View
- Click anywhere in the trip record to view allotments. The Allotments view shows all allotments associated with the trip.
- Trip Allotment Total: Found in the upper right-hand side of the page. This is the sum of all allotments for the trip, both upcoming and disbursed.
-
Allotment Scope
- Standard: This is the default scope. All LIVE (active) cards associated with the trip will receive the allotment.
- Targeted: The allotment will be disbursed only to the specific card(s) you have selected. To view which cards are targeted, hover over the Actions column and select the view icon.
- Spend Amount: This is the amount that will be added to each card.
- Allotment Total: The total value of the allotment, calculated as the Spend Amount multiplied by the number of cards receiving the funds.
- Event Start: This is the date travelers are expected to use an allotment. However, the money is available as soon as it's disbursed and can be used at any time before the funds expiration date. The Event Start date is simply a guide displayed in the Trip Card app to help them with their spending.
- Auto Disburse: This is the date and time the allotment will be loaded on the card. All times listed are EST.
Cards View
- You can download a list of the Trip Cards to provide to the Tour Leader. A printed inventory list is also included in the card package.
- To simplify distribution, the cards are packed in same order as they are listed in both the UI and on the printed inventory list.
| Tip for Tour Leaders: To keep track of which card is assigned to each traveler, the Tour Leader can write the traveler's name (or have them sign) next to the corresponding card on the printed inventory list as they are handed out. |
- Embossed (Name on Card): Name printed on the card
- Last Four: These 4 digits will allow you to identify the specific Trip card.
- PRN: The Payment Reference Number (PRN) is a unique identifier for a card. Occasionally, a trip will have two cards with the same Last Four. The PRN is used to differentiate the two.
- Allotment Scheduled: Amount of the upcoming allotment(s) to be disbursed to the card.
- Allotment Received: Amount of the allotment(s) that have been disbursed to the card during the trip. This is a cumulative amount.
- Total Spend: This is the total amount of money that has been spent during the trip.
- Current Balance: This is the current balance on the card.
-
